Privacy Policy

FieldDraft is a documentation tool for industrial equipment inspections. This policy explains what information we collect, where it is stored, and who processes it. The short version: your inspection data belongs to you, we don't sell it, we don't use it for advertising, and it only goes to the service providers listed below — never anywhere else, except as required by law.

1. Information we collect

  • Account information: your email address. Your password is handled by Firebase Authentication (a Google service) and stored by Google in protected, hashed form — we do not keep a copy.
  • Profile information: the display name, company, phone number, and certification names/numbers you choose to enter.
  • Inspection content: everything you create in the app — inspection details (client and equipment names, dates), checklist statuses and notes, thickness readings, photos and their captions and annotations, uploaded documents and drawings, and generated summaries and reports.
  • Access requests:the name, email, role, and answers you submit on the "Request Access" form.
  • Technical data: basic operational logs, such as IP addresses used for signup rate limiting and error logs, kept only as needed to run and secure the Service.

2. Where your data is stored

  • On your device:FieldDraft is offline-first. Your inspection data is stored in your browser's local database so you can work without internet. It stays on the device until you sign out or clear browser data.
  • In the cloud: when you are online, your data syncs to Google Firebase — Firestore for inspection records and Cloud Storage for photos and documents — on infrastructure located in the United States. Cloud data is tied to your account and protected by per-user security rules, so only your account can read it.

3. AI processing — only when you use an AI feature

Nothing is sent to an AI provider unless you tap an AI feature. When you do:

  • Photo analysis:the selected photos, their captions, and basic inspection context are sent to Google's Gemini API to draft field observations.
  • Summaries and repair recommendations:your written findings (text only — no photos) are sent to Anthropic's Claude API to draft an executive summary and recommended repairs.

Under the API terms we use, Google and Anthropic do not use this data to train their models. AI output is stored with your inspection just like your own notes, and you can edit or delete it at any time.

4. Email delivery

We use Resend to deliver our notification emails (for example, when someone signs up or requests access). The information in those emails — such as your name, email address, and form answers — passes through Resend when they are sent.

5. How we use information

We use your information to:

  • provide, operate, and sync the Service;
  • secure the Service (authentication, rate limiting, abuse prevention);
  • respond to your requests and provide support;
  • improve the product; and
  • notify you of important changes to the Service or these policies.

We do not sell your information, do not use it for advertising, and do not share it with anyone beyond the service providers described above, except as required by law.

6. Data retention and deletion

We keep your data for as long as your account is active. When you delete data in the app, it is removed from your view immediately and deleted from our cloud systems as your devices sync; residual copies may persist for a limited time in provider backups.

To delete your account and all associated data, email alecpeacock@gmail.com from your account email address. We will confirm when deletion is complete.

7. Security

All data moves over encrypted connections (HTTPS/TLS). Cloud data is protected by Firebase Authentication and per-user security rules. No system is perfectly secure, so please keep your password safe and sign out on shared devices.

8. Your rights and choices

  • You can view and edit your profile and inspection data in the app at any time.
  • You can export your inspection data as PDF reports and photo archives.
  • You can request a copy or deletion of your data by email.
  • If you are in a region with specific privacy rights (for example, California or the EU), contact us and we will honor the rights that apply to you.

9. Children

The Service is a professional tool and is not directed to anyone under 18. We do not knowingly collect information from minors.

10. Changes to this policy

We may update this policy from time to time. Updates will be posted here with a new effective date, and for material changes we will ask you to review and accept the updated policy in the app.
